1. Signed Dispatch-Carrier Agreement
2. MC Certificate of Authority
3. Complete W9/W8 BEN Form
4. Certificate of Insurance - Proof of Insurance
5. Notice of Assignment from Factoring or Voided Check
In some cases additional documentation may be required.
Step 1
Your dedicated dispatcher will find and negotiate the best loads on the market on your behalf.
You will then be notified of the best/most suitable offers he/she has encountered for you taking all your business and personal needs.
You make the final call on wether we book it or keep searching.
If booked, we will complete all requirements from the broker and provide you with the needed rate confirmation and necessary paperwork to complete the pickup.
Step 2
We will do ocassional check ups to ensure everything is going according to plan.
If you have a scheduled pickup or delivery appointment - we arrange that someone from the dispatch team is always on call duty just in case you need anything. Yes - 24/7.
Step 3
Your services are billed weekly mon-sun.
Invoices are sent every Monday covering all the loads that have been picked up during the past week.
All invoices are due net 5 days. (Unless stated differently on your invoice)
In most cases, you have been paid by your Factoring or Broker (if doing QuickPay) long before this payment is due.
Why make it complicated?
One Plan - All the benefits - No Catch
We will require a signed service agreement that serves as an authorization letter for us to work on your behalf when negotiating and securing freight or other work related tasks; this agreement also includes information related to our payment, assuring us that we will be paid for our services.
However, this does not constitute a contract. Our services are offered under no contract, no commitment policy. Either party can terminate the agreement at any given time without incurring any penalties or fees.
Business as usual, we never touch your money. You get your funds directly from the freight broker or Factoring company for the loads you haul.
Meaning, if you have a factoring company, we upload the paperwork to your factoring, and they will transfer your funds via your preferred method. If doing standard or QuickPay directly with a broker, you will get your funds directly to your business - via check, ach, wire, comchek, etc.
As a side note:
Don't want to alarm you, but... If you are currently working with a dispatch company that is directly paying you for the loads you haul... There is a big chance they are not compliant with FMCSA regulations. You should look for a new service provider ASAP.
Once the setup process is complete, on average, it takes up to 24 hours to get your first load through us.
During this time, we will assisgn your dedicated dispatcher, get familiar with your business information and preferences, plan the best lanes available within your preferred markets, complete setups with different brokers in your area and start searching suitable loads for you.
Depending on your equipment type, location or special requests this times may vary.
No, however, if you are leasing an authority, we recommend you contact the owner to ensure they allow outside dispatching services.
Keep in mind, it is under that company name that you are granting us authorization to represent when negotiating and securing freight. You will also be receiving the invoices under that company name and it will be held accountable for any unpaid invoices.
Most of the time this does not constitute a problem. If needed, we can contact the owner with you to clear any doubts that may arise.
We take credit and debit card payments or you can do a wire/ach transfer directly into our business bank account. The payment links and bank information is always included on your invoice.
We do NOT accept Zelle, Cashapp transfers.
All Invoices are in USD. If you are a Canadian Carrier, please note that charges will be converted using the most up to date convertion rates available at the date of the invoice.

In fact, the FMCSA has acknowledged that dispatch services “can help to ensure the motor carrier has a steady stream of shipments while allowing the motor carrier to focus on its core business of safely transporting freight”.
This question often arises when there is a confusion between the jobs and responsibilities from a Broker and a Dispatch Service.
APAG Dispatch works hard to stay compliant to FMCSA regulations; under which, we are considered 'bona fide agents' NOT brokers. Which excempts us from needing to file for a Broker license.
Some key differences -
1. Our Service Agreement clearly reflects the motor carrier is appointing the dispatch service as a licensed agent to work on their behalf.
2. We go through a broker to arrange for the transportation of freight. We do not seek or solicit shippers for freight
3. We do not accept compensation from the broker or are, in any way, shape or form, involved in the transaction of money between Broker- Carrier. Our compensation is received from the motor carrier(s) based on our Service Agreement.
